We collect data depending on how you interact with Vidpops:
Hotel operators (account holders)
- Name, email address, and password (via our authentication provider)
- Organisation name and billing details
- Payment information (processed securely by Stripe — we never store card numbers)
- Usage data such as videos created, templates configured, and login activity
Guests (video contributors)
- Name and email address (if provided by the guest)
- Video and audio recordings submitted through our guest recorder
- Consent acknowledgement for recording and usage
All visitors
- Device information, browser type, and IP address
- Pages visited and interactions with the site
- Cookies and similar technologies (see Section 6)
3. How we use your data
- To provide and maintain the Vidpops service
- To process video recordings, apply branding, and deliver finished assets
- To manage your account and process payments
- To send service-related communications (e.g. new video notifications)
- To improve our product and fix technical issues
- To comply with legal obligations
We do not sell your personal data to third parties.
4. Third-party services
We use trusted third-party providers to operate Vidpops. These providers process data on our behalf under strict data protection agreements:
- Clerk — Authentication and user management
- Supabase — Database and backend services
- Bunny.net — Video hosting and delivery
- Amazon Web Services (AWS) — Video processing and rendering
- Stripe — Payment processing
- Vercel — Website hosting
- OpenAI — AI-powered features such as transcription and copy generation
5. How we store and protect your data
Video recordings are stored on secure, encrypted infrastructure provided by Bunny.net and AWS. Account data is stored in our Supabase database with row-level security policies.
We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss, or misuse. However, no system is 100% secure, and we cannot guarantee absolute security.
6. Cookies
We use essential cookies to keep you signed in and maintain your session. We may also use analytics cookies to understand how visitors use our site.
You can control cookies through your browser settings. Disabling essential cookies may prevent you from using parts of the service.
7. Your rights
Under UK GDPR and the Data Protection Act 2018, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
- Request data portability
- Withdraw consent at any time (where consent is the legal basis)
To exercise any of these rights, email privacy@vidpops.com. We will respond within 30 days.
8. Data retention
We retain your account data for as long as your account is active. Video recordings are retained until deleted by the account holder or upon account closure. After account deletion, we remove your data within 90 days, except where retention is required by law.
9. Children's privacy
Vidpops is not directed at children under 16. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify account holders of significant changes by email. The “last updated” date at the top of this page indicates the most recent revision.
